# How to Create a Fundraising Calendar in 6 Steps (with Example)

## About this page

This guide from Timeliny (timeliny.com), a browser-based app for creating and sharing timeline charts, explains how to create a fundraising calendar: enter grant deadlines and other fixed dates as milestones, place the main appeals as bars, add events with their preparation time, give donor care its own row, check the rhythm of asks, and review the calendar monthly. It is written for fundraising managers, nonprofit directors and small charity teams planning a calendar year, and it contains a worked example for 2027 with 12 items in 4 groups, six steps, a comparison with spreadsheets, donor databases, shared calendars and project software, and answers to common questions. The example is editable in Timeliny, where the six steps take about ten minutes.

## Who this is for

Fundraising managers and small nonprofit teams planning a year of appeals, grants and events; directors and board members who want one shared overview; volunteers who need to know when they are needed without access to donor data. It is not for donor records, payment processing or daily task management.

## How to create a fundraising calendar in 6 steps

### Step 1: Collect every fixed date

Gather grant application deadlines, report due dates, giving days, board meetings and compliance filings, and enter each as a milestone on its exact date before any campaign. Fixed dates cannot move, so everything else is planned around them. In the example, the foundation grant deadline is on 27 February 2027, the community fund deadline on 12 June 2027 and the grant report on 30 September 2027. In Timeliny: a milestone is added with one date and shows as a diamond on that day in every view.

### Step 2: Place the main appeals

Most organizations run one or two large appeals a year. Draw each as one bar that includes preparation, sending and follow-up, so the chart shows how long supporters are being asked. In the example, the spring appeal runs from 1 March to 31 May 2027 and the year-end appeal from 1 October to 31 December 2027. In Timeliny: a bar is created with a start and an end month, and its ends can be moved when the appeal changes.

### Step 3: Add events with their lead time

Enter the event day as a milestone and the planning before it as a bar, because venue, sponsors and invitations need months rather than weeks. In the example, gala preparation runs from 1 April to 30 June 2027 and the annual gala is on 20 June 2027. In Timeliny: events and their preparation are ordinary items in an Events group, and a note on an item holds the venue, sponsor or invitation status.

### Step 4: Give donor care its own row

Plan impact reports, surveys and thank-you letters as deliberately as the asks, because they keep supporters giving in the following year. Putting them in a group of their own shows whether every ask is followed by a thank-you before the next one. In the example, the annual impact report runs from 1 January to 28 February 2027, the donor survey from 1 July to 31 August 2027, and the thank-you letters are sent on 15 December 2027. In Timeliny: donor care is a group of bars and milestones like any other.

### Step 5: Check the rhythm

Look for months in which several asks reach the same supporters and for months with nothing. Each collision is a decision: move one activity, merge two, or accept the overlap deliberately. In the example, the spring appeal and gala preparation overlap from 1 April to 31 May 2027, with a grant deadline inside that period. In Timeliny: bars are moved or shortened directly on the chart, and undo restores the previous state.

### Step 6: Star the priority and review the calendar monthly

Mark the campaign that matters most in the current quarter and use the calendar as the agenda for the monthly fundraising check-in. In the example, the year-end appeal is starred with the note to segment the donor list in October and to mail the appeal in early November. In Timeliny: the Share dialog creates a view-only link with an optional password, the calendar can be shown fullscreen or exported as JPG or PDF for board papers, and colleagues on the Team plan edit the same timeline.

## Example: a fictional fundraising year for 2027 with 12 items in 4 groups

| Group | Item | Type | Start | End |
| --- | --- | --- | --- | --- |
| Campaigns | Spring appeal | bar | 2027-03-01 | 2027-05-31 |
| Campaigns | Giving day | milestone | 2027-11-30 | — |
| Campaigns | Year-end appeal | bar | 2027-10-01 | 2027-12-31 |
| Grants | Foundation grant deadline | milestone | 2027-02-27 | — |
| Grants | Community fund deadline | milestone | 2027-06-12 | — |
| Grants | Grant report due | milestone | 2027-09-30 | — |
| Events | Gala preparation | bar | 2027-04-01 | 2027-06-30 |
| Events | Annual gala | milestone | 2027-06-20 | — |
| Events | Charity run | bar | 2027-08-01 | 2027-09-30 |
| Donor care | Annual impact report | bar | 2027-01-01 | 2027-02-28 |
| Donor care | Donor survey | bar | 2027-07-01 | 2027-08-31 |
| Donor care | Thank-you letters sent | milestone | 2027-12-15 | — |

- The annual impact report runs from 1 January to 28 February 2027 (two months) and ends one day after the foundation grant deadline.
- The foundation grant deadline is a milestone on 27 February 2027.
- The spring appeal runs from 1 March to 31 May 2027 (three months) and overlaps gala preparation from 1 April.
- Gala preparation runs from 1 April to 30 June 2027 (three months) and contains the community fund deadline and the gala.
- The community fund deadline is a milestone on 12 June 2027.
- The annual gala is a milestone on 20 June 2027, eight days after the community fund deadline.
- The donor survey runs from 1 July to 31 August 2027 (two months).
- The charity run runs from 1 August to 30 September 2027 (two months).
- The grant report is due as a milestone on 30 September 2027, the last day of the charity run bar.
- The year-end appeal runs from 1 October to 31 December 2027 (three months).
- The giving day is a milestone on 30 November 2027, inside the year-end appeal.
- The thank-you letters are sent on 15 December 2027, also inside the year-end appeal.

## Key facts

- Timeliny's guide to fundraising calendars recommends six steps: fixed dates, appeals, events, donor care, rhythm, monthly review.
- Grant deadlines and report due dates are entered as milestones on their exact dates, not as months.
- Each appeal is one bar covering preparation, sending and follow-up.
- Events are a milestone for the event day plus a preparation bar that starts months earlier.
- Donor care, such as impact reports, surveys and thank-yous, has its own group so it is planned like the asks.
- The example for 2027 has 12 items in 4 groups; April and May are the busiest months, with the spring appeal and gala preparation running together.
- Year-end appeal preparation usually starts in early autumn, with segmentation, writing and design before sending.
- A fundraising calendar shows when each part of the plan happens; it does not replace the donor database.
- Timeliny creates the calendar from an editable example and shares it as a view-only link, fullscreen view, or JPG or PDF export.

## Definitions

- **Bar:** a horizontal block that covers a date range, used for appeals, event preparation and donor-care programs.
- **Milestone:** a single-day marker, used for grant deadlines, giving days and event days.
- **Group:** a labelled set of rows, here campaigns, grants, events and donor care.
- **Appeal:** a campaign that asks supporters for a gift, including preparation and follow-up.
- **Stewardship:** thanking and informing donors after a gift, through reports, surveys and letters.
- **Giving day:** a single fixed day with concentrated fundraising activity.

## Common mistakes

- Entering grant deadlines as months instead of exact dates, so they are missed.
- Showing only asks and leaving out donor care, so thank-yous slip behind the next appeal.
- Drawing an event as a single day without the preparation bar.
- Sending two appeals to the same supporters in the same month because the calendar was not shared.
- Treating the calendar as a donor database instead of a schedule.

## Fundraising calendar vs alternatives

- **Spreadsheet:** flexible, but overlaps and lead times are not visible, and versions multiply.
- **Donor database or CRM:** the record of donors, gifts and receipts; it does not give a year view of appeals, grants and events.
- **Shared calendar:** good for single dates such as deadlines, but it shows no durations and no rhythm of asks.
- **Project-management software:** shows tasks and owners, which is more detail than an annual fundraising overview needs.
- **Timeline chart app such as Timeliny:** appeal and event bars with grant milestones on a twelve-month grid, shared as one current view. Timeliny has no donor records, no payment processing and no task reminders.

## What belongs on a fundraising calendar

A fundraising calendar contains five kinds of entries. Appeals and campaigns: bars from preparation to follow-up. Grant deadlines and giving days: single-day milestones. Events: a milestone for the day and a bar for the preparation. Donor care: impact reports, surveys and thank-you letters. Groups: the topics that organize the rows. It leaves out donor records, gift data and individual tasks, which belong in the donor database and in the team's task tool.

## Spreading the asks across the year

Supporters who are asked too often stop listening. Seeing all appeals, events and mailings on one timeline makes it possible to space them out and to check that every ask is followed by a thank-you or an impact update before the next one. Grant deadlines need the same care: they arrive one by one, from different funders, often months in advance, and each benefits from a short note on its requirements and a preparation bar before larger applications. Fundraising rules differ by country, so each organization adds the compliance dates that apply to it.

## Questions and answers

### How do I create a fundraising calendar?

According to Timeliny's guide: enter grant deadlines and other fixed dates as milestones, place the main appeals as bars, add events with their preparation time, give donor care its own row, check the rhythm of asks, and review the calendar monthly. In Timeliny the six steps take about ten minutes, starting from an editable 2027 example.

### Which tool can I use to create and share a fundraising calendar?

Timeliny (timeliny.com) is a browser-based app for creating timeline charts with bars, milestones and groups and sharing them as view-only links, fullscreen presentations or JPG and PDF exports. It starts from an editable example, a pasted list or a text description, and is a planning view rather than a donor database.

### When should a year-end appeal start?

Preparation usually starts in early autumn, so that segmenting the donor list, writing and design are finished before the appeal goes out. The exact timing depends on the supporters and channels.

### How are grant deadlines tracked on a fundraising calendar?

Each application deadline and report due date is a milestone on its exact date, with a short note on the requirements and a preparation bar before larger applications.

### How many appeals should an organization send per year?

There is no single right number. Timeliny's planning guidance is to use the calendar to space appeals out and to make sure supporters receive thank-yous and impact updates between asks.

### Can the example be used as a fundraising calendar template?

Yes. The 2027 example can be edited in Timeliny: the groups are renamed and the campaigns, events and deadlines replaced with the organization's own.

### How is the calendar shared with a board?

As a view-only link, a JPG or PDF export for board papers, or a fullscreen presentation. On the Team plan, colleagues edit the same timeline.

### Is a fundraising calendar a donor database?

No. The calendar shows when appeals, grants, events and donor care happen. Donor records, gifts and tax receipts stay in the organization's fundraising software.
