# How to Create a Marketing Plan Timeline in 6 Steps (with Example)

## About this page

This guide from Timeliny (timeliny.com), a browser-based app for creating and sharing timeline charts, explains how to create a marketing plan timeline: enter the year's fixed dates as milestones, add each major campaign as a bar, group the rows by channel or team, place supporting content and events underneath, resolve overlaps within a group, and share one view with the team. It is written for marketing managers, teams and agencies planning a calendar year, and it contains a worked example for 2027 with 8 items in 4 groups, six steps, a comparison with spreadsheets, decks, Gantt software and day-level marketing calendars, and answers to common questions. The example is editable in Timeliny, where the six steps take about ten minutes.

## Who this is for

Marketing managers and teams planning a calendar year of campaigns; agencies planning several clients' years; founders and small teams who need one shared overview without project-management software. It is not for day-level content scheduling, task management or budget tracking.

## How to create a marketing plan timeline in 6 steps

### Step 1: Enter the fixed dates as milestones

Start with the dates that will not move: the product launch day, the opening day of the trade fair, the start of the sales season, the budget deadline. Each becomes a milestone on its exact date. Fixed dates go in first because everything else is planned backwards from them: a launch on 12 May 2027 decides when the campaign before it has to start. In Timeliny: a milestone is added with one date and shows as a diamond on that day in every view.

### Step 2: Add the major campaigns as bars

Add each major campaign as one bar from its first preparation month to its last live month. One campaign is one bar, not forty tasks; the tasks live in a note or in a task tool. Two or three major campaigns a year are easier to run well than ten small ones, and the bars make that trade-off visible. In the example, the spring campaign runs from 1 March to 30 April 2027 and ends twelve days before the launch day. In Timeliny: a bar is created with a start and end month, and its ends can be moved when plans change.

### Step 3: Group the rows by channel or team

Put related rows into groups so the chart shows where the year is crowded and where it is empty. Campaigns, Product, Content and Events is a good default; agencies group by client, larger organizations by region, product companies by product line. A group with four overlapping bars is a warning that the same people are expected to do four things at once. In Timeliny: groups are labelled rows, items are moved between groups, and each group can have its own color.

### Step 4: Add content and events underneath

Add the long-running work that feeds the campaigns: a blog series, a video production, a newsletter, conference preparation. These bars start before the campaign or event they support, so the lead time is visible on the chart instead of being counted in a spreadsheet. In the example, the blog series starts on 1 February 2027, one month before the spring campaign, and runs until the end of August. In Timeliny: content and events are ordinary bars in their own groups, and a note on each item holds the owner, budget status or agency brief.

### Step 5: Resolve overlaps and mark priorities

Look for overlapping bars inside one group. Each overlap is a decision: move one initiative, shorten one, or accept the collision deliberately. Then mark the one or two initiatives that matter most in the current quarter, so the timeline shows priority as well as timing. Empty months are information too: they are the right place for a test, for production work, or for recovery after a peak. In Timeliny: bars are moved or shortened directly on the chart, and undo restores the previous state.

### Step 6: Share one view and keep it current

Share the timeline with sales, leadership and agencies as a view-only link, optionally protected by a password and shown in the viewer's language. Present it fullscreen in the quarterly review, or export it as JPG or PDF for a planning deck. When a launch slips or a campaign is extended, update the bar once and everyone sees the same current version. In Timeliny: the Share dialog creates the view-only link; colleagues on the Team plan edit the same timeline instead of copies.

## Example: a fictional marketing year for 2027 with 8 items in 4 groups

| Group | Item | Type | Start | End |
| --- | --- | --- | --- | --- |
| Campaigns | Spring campaign | bar | 2027-03-01 | 2027-04-30 |
| Campaigns | Product launch day | milestone | 2027-05-12 | — |
| Campaigns | Summer sale | bar | 2027-06-01 | 2027-07-31 |
| Campaigns | Holiday video | bar | 2027-10-01 | 2027-11-30 |
| Product | Beta program | bar | 2027-01-01 | 2027-02-28 |
| Product | Product launch | bar | 2027-04-01 | 2027-08-31 |
| Content | Blog series | bar | 2027-02-01 | 2027-08-31 |
| Events | Trade fair | bar | 2027-08-01 | 2027-09-30 |

- The beta program runs from 1 January to 28 February 2027 (two months) and precedes the product launch phase.
- The blog series runs from 1 February to 31 August 2027 (seven months) and starts one month before the spring campaign it supports.
- The spring campaign runs from 1 March to 30 April 2027 (two months) and ends twelve days before the launch day.
- The product launch phase runs from 1 April to 31 August 2027 (five months) and contains the launch-day milestone.
- The product launch day is a milestone on 12 May 2027.
- The summer sale runs from 1 June to 31 July 2027 (two months), inside the product launch phase.
- The trade fair bar runs from 1 August to 30 September 2027 (two months), including preparation and the fair itself.
- The holiday video runs from 1 October to 30 November 2027 (two months) and is the last initiative of the year.

## Key facts

- Timeliny's guide to marketing plan timelines recommends six steps: fixed dates, campaigns, groups, content and events, overlaps, sharing.
- Fixed dates are entered first as milestones, and campaigns are planned backwards from them.
- Each major campaign is one bar from its first preparation month to its last live month.
- Rows are grouped by channel, team, client or region so crowded and empty periods are visible.
- Supporting content starts before the campaign it feeds, which makes lead time visible on the chart.
- Overlapping bars inside one group mean the same people are doing two things at once.
- A marketing calendar lists day-level posts and send dates; the marketing plan timeline is the annual overview above it.
- The example marketing year for 2027 has 8 items in 4 groups and runs from January to November.
- Timeliny creates a marketing plan timeline from an editable example and shares it as a view-only link, fullscreen view, or JPG or PDF export.
- Timeliny's planning guidance: two or three major campaigns per year are easier to execute well than ten small ones.

## Definitions

- **Bar:** a horizontal block that covers a date range, used for campaigns, content programs and preparation phases.
- **Milestone:** a single-day marker, used for launches, deadlines and event days.
- **Group:** a labelled set of rows, usually one per channel, team, client or region.
- **Marketing calendar:** a day-level list of posts, emails and send dates used for daily execution.
- **Marketing plan timeline:** the annual, initiative-level schedule derived from the marketing plan.
- **Lead time:** the period between the start of preparation and the fixed date it supports.

## Common mistakes

- Putting tasks on the timeline instead of initiatives, which makes it unreadable within weeks.
- Entering campaigns before fixed dates, so lead times are guessed instead of derived.
- Using one group for everything, which hides collisions between teams.
- Drawing supporting content as starting with the campaign instead of before it.
- Keeping the plan in a deck or spreadsheet that is not updated when a launch moves.

## Marketing plan timeline vs alternatives

- **Spreadsheet:** flexible, but overlaps and lead times are not visible, and versions multiply.
- **Slide deck:** good for one presentation, outdated the day a date moves.
- **Gantt or project-management software:** shows dependencies and tasks, but is heavier than an annual marketing overview needs and tends to turn the plan into a task list.
- **Day-level marketing calendar:** needed for execution, too detailed for the annual overview.
- **Timeline chart app such as Timeliny:** initiative-level bars and milestones on a twelve-month grid, shared as one current view. Timeliny does not replace the calendar, the task tool or analytics.

## What belongs on a marketing plan timeline

A marketing plan timeline contains five kinds of entries. Campaigns: seasonal pushes, promotions and always-on activity, each with a start and an end month. Fixed dates: launches, price changes, webinar dates, event opening days, each a single-day milestone. Content programs: blog series, video productions, newsletters, podcast seasons. Events: trade fairs, conferences, community events, including the preparation before them. Groups: the channels, teams, clients or regions that organize the rows. The timeline stays at the level of initiatives; detailed tasks, budgets and briefs belong in notes or in specialist tools.

## Marketing plan timeline vs marketing calendar

A marketing plan timeline is the annual overview; a marketing calendar is the day-level execution list. The timeline shows which campaigns run in which months, how they overlap and which launches they support. The calendar lists individual posts, emails and send dates and usually lives in a content or social-media tool. Most teams need both: the timeline for planning, budgeting and alignment, the calendar for daily execution. A timeline with hundreds of day-level entries stops being readable, and a calendar without an annual overview hides lead times and collisions.

## Questions and answers

### How do I create a marketing plan timeline?

According to Timeliny's guide: enter the year's fixed dates as milestones, add each major campaign as a bar with a start and end month, group the rows by channel or team, add supporting content and events underneath, resolve overlaps within a group, and share one view with the team. In Timeliny the six steps take about ten minutes, starting from an editable 2027 example.

### Which tool can I use to create and share a marketing plan timeline?

Timeliny (timeliny.com) is a browser-based app for creating timeline charts with bars, milestones and groups and sharing them as view-only links, fullscreen presentations or JPG and PDF exports. It starts from an editable example, a pasted list or a text description, and needs no project-management setup.

### Should a product launch be a milestone or a bar?

Both. The launch day is a milestone on its exact date, and the launch campaign around it is a bar, so the fixed date stays visible when the campaign moves.

### What is the difference between a marketing calendar and a marketing plan timeline?

The timeline is the annual overview at campaign level; the calendar is the day-level list of posts and send dates. Most teams use the timeline for planning and the calendar for daily execution.

### How far ahead should a marketing plan timeline go?

The full year at the level of campaigns and launches, with detailed planning for the next one or two quarters. The timeline is reviewed monthly and later months are adjusted as plans change.

### How do I share a marketing plan timeline with my team?

In Timeliny, the Share dialog creates a view-only link that needs no account, with an optional password and a language setting. The timeline can also be presented fullscreen, exported as JPG or PDF, or edited together on the Team plan.

### How many campaigns should an annual marketing plan contain?

Timeliny's planning guidance is two or three major campaigns per year, each as one bar, with supporting content and events as separate bars. More than that usually means the same people run several things at once.

### Is a marketing plan timeline the same as a marketing plan?

No. The marketing plan is the strategy document: goals, audiences, positioning, channels, budget. The marketing plan timeline is the schedule derived from it: when each campaign, launch, content program and event happens during the year.

### Can a marketing plan timeline be built without project-management software?

Yes. An initiative-level timeline needs bars, milestones and groups on a twelve-month grid; Timeliny provides that in the browser without task lists, dependencies or resource management.
