# How to Create an HR Calendar in 6 Steps (with Example)

## About this page

This guide from Timeliny (timeliny.com), a browser-based app for creating and sharing timeline charts, explains how to create an HR calendar: list the processes that repeat every year as bars, enter compliance deadlines as milestones, order the dependencies, add onboarding cohorts and training, check the load on managers, and review the calendar every quarter. It is written for HR managers, people-operations teams and small-business owners planning a calendar year, and it contains a worked example for 2027 with 12 items in 4 groups and placeholder dates, six steps, a comparison with spreadsheets, HR systems and reminder tools, and answers to common questions. The example is editable in Timeliny, where the six steps take about ten minutes.

## Who this is for

HR managers and people-operations teams planning the recurring cycles of a year; HR business partners aligning managers around reviews and onboarding; small businesses without dedicated HR software. It is not for employee records, payroll, leave balances or individual task reminders.

## How to create an HR calendar in 6 steps

### Step 1: List the processes that repeat every year

List every process that happens each year: annual performance reviews, mid-year check-ins, the salary review, benefits enrollment, onboarding cohorts, leadership training. Each becomes one bar from kick-off to the last conversation; the tasks inside a process stay in the HR system or a checklist. In Timeliny: a bar is created with a start and an end month, and its ends can be moved when the process changes.

### Step 2: Enter the compliance deadlines as milestones

Collect the filing and reporting dates that apply to the country and company from payroll, legal or advisers, and enter each as a milestone on its exact day. These dates cannot be negotiated, so they go in before the flexible processes. In the example, the annual payroll filing is on 31 March 2027 and the annual compliance report on 15 December 2027; both are placeholders. In Timeliny: a milestone is added with one date and shows as a diamond on that day in every view.

### Step 3: Order the dependencies

Place each bar so that its input is ready before it starts. Salary reviews usually follow performance reviews, benefits changes follow the provider's renewal, and a compliance report needs data from the months before it. In the example, the salary review starts on 1 March 2027, the day after the annual reviews end, and its note states that the salary budget is due from finance by mid-February. In Timeliny: a note on an item holds the input, the owner or the condition.

### Step 4: Add onboarding cohorts and training

Give each hiring wave its own bar and place recurring training next to it, so trainers and rooms are booked in time. In the example, the spring cohort runs from 1 February to 31 March 2027, leadership training from 1 May to 30 June, and the autumn cohort from 1 September to 31 October. In Timeliny: cohorts and training are ordinary bars in their own group, and each bar can have its own color.

### Step 5: Check the load on managers

Look for months in which several bars run at once in different groups, because reviews, salary conversations and onboarding in the same month land on the same managers. Each overlap is a decision: move a process, shorten it, or accept the collision deliberately. In the example, February holds the end of the annual reviews and the start of the spring cohort, and October holds benefits enrollment, the autumn cohort and a training deadline. In Timeliny: bars are moved or shortened on the chart, and undo restores the previous state.

### Step 6: Share the calendar and review it each quarter

Walk through the calendar with leadership at the start of each quarter and update the dates that moved. Share it with managers as a view-only link, present it fullscreen, or export it as JPG or PDF for a management pack. In Timeliny: the Share dialog creates a view-only link with an optional password; colleagues on the Team plan edit the same timeline instead of copies.

## Example: a fictional HR year for 2027 with 12 items in 4 groups (placeholder dates)

| Group | Item | Type | Start | End |
| --- | --- | --- | --- | --- |
| Performance & pay | Annual performance reviews | bar | 2027-01-01 | 2027-02-28 |
| Performance & pay | Salary review | bar | 2027-03-01 | 2027-04-30 |
| Performance & pay | Mid-year check-ins | bar | 2027-07-01 | 2027-08-31 |
| Benefits | Benefits open enrollment | bar | 2027-10-01 | 2027-11-30 |
| Benefits | Benefits renewal confirmed | milestone | 2027-12-01 | — |
| Onboarding & training | Spring onboarding cohort | bar | 2027-02-01 | 2027-03-31 |
| Onboarding & training | Autumn onboarding cohort | bar | 2027-09-01 | 2027-10-31 |
| Onboarding & training | Leadership training | bar | 2027-05-01 | 2027-06-30 |
| Compliance | Annual payroll filing | milestone | 2027-03-31 | — |
| Compliance | Policy review sign-off | milestone | 2027-06-30 | — |
| Compliance | Mandatory training deadline | milestone | 2027-10-15 | — |
| Compliance | Annual compliance report | milestone | 2027-12-15 | — |

- The annual performance reviews run from 1 January to 28 February 2027 (two months).
- The spring onboarding cohort runs from 1 February to 31 March 2027 (two months) and overlaps the annual reviews in February.
- The salary review runs from 1 March to 30 April 2027 (two months), starts the day after the annual reviews end and overlaps the spring cohort in March.
- The annual payroll filing is a milestone on 31 March 2027, the last day of the spring cohort.
- Leadership training runs from 1 May to 30 June 2027 (two months).
- The policy review sign-off is a milestone on 30 June 2027, the last day of leadership training.
- The mid-year check-ins run from 1 July to 31 August 2027 (two months).
- The autumn onboarding cohort runs from 1 September to 31 October 2027 (two months).
- The benefits open enrollment runs from 1 October to 30 November 2027 (two months) and overlaps the autumn cohort in October.
- The mandatory training deadline is a milestone on 15 October 2027, inside both the autumn cohort and the enrollment window.
- The benefits renewal is confirmed as a milestone on 1 December 2027, the day after enrollment closes.
- The annual compliance report is a milestone on 15 December 2027 and is the last item of the year.

## Key facts

- Timeliny's guide to HR calendars recommends six steps: recurring processes, compliance deadlines, dependencies, onboarding and training, manager load, quarterly review.
- Recurring HR processes are entered as one bar each, from kick-off to the last conversation.
- Compliance deadlines are entered as milestones on their exact dates, because other parties set them.
- Salary reviews usually follow performance reviews, and benefits changes follow the provider's renewal.
- Reviews, salary conversations and onboarding in the same month land on the same managers.
- The example for 2027 has 12 items in 4 groups and uses placeholder dates; February, March and October carry the most overlaps.
- Statutory deadlines depend on country, region and company size, so each organization enters its own.
- An HR calendar sits above the HR system as a planning layer; it holds no employee records.
- Timeliny creates the calendar from an editable example and shares it as a view-only link, fullscreen view, or JPG or PDF export.

## Definitions

- **Bar:** a horizontal block that covers a date range, used for processes, cohorts and training.
- **Milestone:** a single-day marker, used for filing dates, sign-offs and deadlines.
- **Group:** a labelled set of rows, here performance and pay, benefits, onboarding and training, and compliance.
- **Compliance deadline:** a legal or contractual date set by an outside party, such as a filing or report date.
- **Cohort:** a group of new hires who start and are onboarded together.
- **HR calendar:** the annual, process-level schedule of recurring HR work.

## Common mistakes

- Listing tasks instead of processes, which turns the calendar into a second HR system.
- Entering deadlines as months instead of exact dates, so the fixed dates are not visible.
- Placing the salary review without checking when its inputs are ready.
- Scheduling reviews, salary talks and onboarding in the same month for the same managers.
- Copying another country's deadlines instead of the ones that apply to the organization.
- Building the calendar once and not reviewing it at the start of each quarter.

## HR calendar vs alternatives

- **Spreadsheet:** flexible, but overlaps and dependencies are not visible, and copies multiply.
- **HR system:** the record of employees, leave and payroll; it does not show a year of processes at a glance.
- **Shared calendar with reminders:** good for individual dates, but it shows no durations and no overlaps.
- **Project-management software:** shows tasks and owners, which is more detail than an annual HR overview needs.
- **Timeline chart app such as Timeliny:** process bars and deadline milestones on a twelve-month grid, shared as one current view. Timeliny does not know local regulations, does not send reminders and does not hold employee records.

## What belongs on an HR calendar

An HR calendar contains five kinds of entries. Performance and pay processes: reviews, check-ins, calibration and the salary review. Benefits: the enrollment window, provider renewals and the effective date of changes. Onboarding and training: start dates of cohorts, leadership programs and recurring mandatory training. Compliance deadlines: payroll filings, statutory reports, policy reviews and certification renewals as single-day milestones. Groups: the topics that organize the rows. It stays at process level; employee records, individual tasks and documents belong in the HR system.

## Plan backwards from the payroll date

Many HR processes end in payroll: a salary increase has to be decided, approved and entered before a specific payroll run. Putting that run on the calendar as a milestone and planning the review backwards from it shows when calibration must finish and when managers need their budgets. The same logic applies to benefits, where the provider's renewal date sets the start of enrollment, and to compliance reports, which need data collected in the months before the deadline.

## Questions and answers

### How do I create an HR calendar?

According to Timeliny's guide: list the processes that repeat every year as bars, enter compliance deadlines as milestones on their exact dates, order the dependencies, add onboarding cohorts and training, check the load on managers, and review the calendar every quarter. In Timeliny the six steps take about ten minutes, starting from an editable 2027 example.

### Which tool can I use to create and share an HR calendar?

Timeliny (timeliny.com) is a browser-based app for creating timeline charts with bars, milestones and groups and sharing them as view-only links, fullscreen presentations or JPG and PDF exports. It starts from an editable example, a pasted list or a text description, and is a planning view rather than an HR system.

### What is an HR compliance calendar?

It is the part of the HR calendar that lists legal and contractual deadlines such as filings, reports and mandatory training. Which deadlines apply depends on the country, region and company size.

### When should the salary review happen?

There is no universal month. Many organizations run it after the performance reviews and before the payroll run in which increases take effect, and plan it backwards from that payroll date.

### Does an HR calendar include statutory deadlines automatically?

No. The calendar holds the dates its owner enters. Timeliny does not know local regulations, so the deadlines come from official sources or from payroll, legal or advisers.

### Can an HR calendar example be used as a template?

Yes. The 2027 example can be edited in Timeliny: the groups are renamed and the placeholder dates replaced with the organization's own.

### How is an HR calendar shared with managers?

As a view-only link, a fullscreen presentation, or a JPG or PDF export. On the Team plan, HR colleagues edit the same timeline.

### Is an HR calendar the same as an HR system?

No. The HR system holds employee records, leave and payroll data. The HR calendar is the planning layer above it: when each process runs, who is involved and where the busy months are.
