# How to Create a Study Plan Timeline in 6 Steps (with Example)

## About this page

This guide from Timeliny (timeliny.com), a browser-based app for creating and sharing timeline charts, explains how to create a study plan timeline: enter each semester as a bar, add exam periods as milestones, plan the internship, exchange and thesis as bars, work back from application deadlines, leave buffers, and review the plan at the start of each semester. It is written for university students and study advisors planning a whole degree, and it contains a worked example of a three-year bachelor from September 2027 to July 2030 with 15 items in 4 groups, six steps, a comparison with spreadsheets, the official curriculum, to-do apps and timetable tools, and answers to common questions. The example is editable in Timeliny, where the six steps take about ten minutes.

## Who this is for

Bachelor and master students planning a degree beyond the current semester; study advisors discussing paths with students; students combining study with a job, an internship or a semester abroad. It is not for module catalogues, credit or grade tracking, or class timetables.

## How to create a study plan timeline in 6 steps

### Step 1: Take the frame from the university

Enter the lecture period of each semester as a bar, using the academic calendar of the university. The gaps between the bars are the breaks and exam periods, which is where internships and resits happen. In the example, semester 1 runs from 1 September 2027 to 31 January 2028 and semester 2 from 1 March to 31 July 2028. In Timeliny: a bar is created with a start and an end month, and a multi-year view shows all semesters on one screen.

### Step 2: Add the exam periods

Enter exam periods and resit dates as milestones. Exact days usually appear later, so the approximate date is entered first and updated when the timetable is published. In the example, the first exam period is on 10 February 2028 and the exams of year 1 and year 2 are on 20 July 2028 and 20 July 2029. In Timeliny: a milestone is added with one date and shows as a diamond on that day in every view.

### Step 3: Plan the long-lead projects

Give the internship, the semester abroad and the thesis their own bars, after checking in the programme regulations when each is allowed or expected. In the example, the internship runs from 1 August to 30 September 2029, semester 5 is the exchange from 1 September 2029 to 31 January 2030, and the bachelor thesis runs from 1 March to 30 June 2030. In Timeliny: projects are ordinary bars in their own group, and a note on each holds the agreement, supervisor or host.

### Step 4: Work back from the application deadlines

Enter the deadlines for exchange programmes, scholarships, internships and the next degree as milestones on their exact dates, because they close months before the start. Then read the chart forward from each deadline. In the example, the exchange application closes on 15 January 2029, about seven and a half months before the exchange starts, and the master's application closes on 15 January 2030, before the thesis begins. In Timeliny: a note on the milestone holds the required documents.

### Step 5: Leave room for resits and buffers

Keep empty months before the thesis and after heavy exam periods, and check bars that collide. Each collision is a decision: move one, shorten one, or accept it deliberately. In the example, the internship ends on 30 September 2029, after the exchange semester has started on 1 September 2029. In Timeliny: bars are moved or shortened directly on the chart, and undo restores the previous state.

### Step 6: Review the plan at the start of each semester

Mark the most important item of the coming semester, adjust what has moved and check the next application deadlines. In the example, the thesis bar is starred with a note to agree the topic with a supervisor before the semester starts. In Timeliny: the timeline can be exported as JPG or PDF for a meeting with a study advisor, shown fullscreen, or shared as a view-only link.

## Key facts

- Timeliny's guide to study plan timelines recommends six steps: semesters, exams, long-lead projects, application deadlines, buffers, semester review.
- Each semester is one bar, and the gaps between bars show breaks and exam periods.
- Exam periods and the thesis submission are milestones; approximate dates are updated when timetables are published.
- Internship, exchange and thesis are bars in their own group, placed according to the programme regulations.
- Application deadlines are milestones on exact dates, because they close months before the start.
- The example covers September 2027 to July 2030 with 15 items in 4 groups and six semesters of five months each.
- In the example the exchange application closes about seven and a half months before the exchange semester starts.
- In Europe, 60 ECTS credits correspond to a full year of study, according to the European Commission.
- Timeliny creates the plan from an editable example and shares it as a view-only link, fullscreen view, or JPG or PDF export.

## Definitions

- **Bar:** a horizontal block that covers a date range, used for semesters and projects.
- **Milestone:** a single-day marker, used for exam dates, deadlines and submissions.
- **Group:** a labelled set of rows, here semesters, exams, projects and applications.
- **Curriculum:** the official list of modules a degree programme requires.
- **ECTS credit:** a unit of study workload used in Europe; 60 credits correspond to a full year.
- **Long-lead project:** work such as an internship, exchange or thesis that needs applications or agreements months ahead.

## Common mistakes

- Planning only the current semester, so deadlines with a year of lead time are found too late.
- Treating the curriculum as the plan, although it lists modules and not dates.
- Entering application deadlines as months instead of exact dates.
- Filling every month with something, so there is no room for resits or a delayed thesis.
- Not revisiting the plan when a module is repeated or a semester is added.

## Study plan timeline vs alternatives

- **Spreadsheet:** flexible, but overlaps and lead times are not visible, and the file drifts from reality.
- **Official curriculum:** lists the modules per semester, but not exams, applications or your own deadlines.
- **To-do app or calendar:** good for the next few weeks, but it does not show a degree across years.
- **Class timetable tool:** shows lectures by day, which is more detail than a degree overview needs.
- **Timeline chart app such as Timeliny:** semester bars and deadline milestones on a multi-year grid, shared as one current view. Timeliny does not track modules, credits or grades and does not provide class timetables or study reminders.

## What belongs on a study plan timeline

A study plan timeline contains four kinds of entries. Semesters: bars for the lecture periods. Exams: milestones for exam periods, resits and the thesis submission. Projects: bars for the internship, the semester abroad and the thesis. Applications: milestones for exchange, internship, scholarship and next-degree deadlines. Modules, class timetables, credits and grades stay in the university's systems.

## Planning around part-time study and changed plans

Not every degree follows the standard schedule. Part-time study, a job alongside, a repeated module or a gap semester stretch the plan, and a timeline shows the consequences early. If the thesis moves by a semester, the chart shows which application deadline is met instead. Plans are best kept at semester level for the whole degree, with detail only for the next semester, and revisited at the start of each semester. The thesis often takes several months and overlaps other modules or job applications, so its registration deadline and the time between registration and submission are checked with the department early.

## Questions and answers

### How do I create a study plan timeline?

According to Timeliny's guide: enter each semester as a bar from the academic calendar, add exam periods as milestones, plan the internship, exchange and thesis as bars, work back from application deadlines, leave buffers, and review the plan at the start of each semester. In Timeliny the six steps take about ten minutes, starting from an editable example.

### Which tool can I use to create and share a study plan timeline?

Timeliny (timeliny.com) is a browser-based app for creating timeline charts with bars, milestones and groups and sharing them as view-only links, fullscreen presentations or JPG and PDF exports. It starts from an editable example, a pasted list or a text description, and is an overview of a degree rather than a module tracker.

### How is a study plan different from the curriculum?

The curriculum lists the modules of a programme. A personal study plan adds the dates: semesters, exams, internship, thesis and application deadlines for the student's own path.

### How far ahead should a study plan go?

The whole degree at the level of semesters and deadlines, with detail for the next semester. The plan is revisited at the start of each semester.

### Can a study plan timeline cover part-time study?

Yes. The semester bars are made longer or more semesters are added, and the thesis and deadlines are moved accordingly.

### When should an exchange semester application be made?

Exchange applications often close many months before the semester abroad. The deadline of the home university is entered as a milestone on its exact date, and the chart is read forward from it.

### Does a study plan timeline track credits or grades?

No. Timeliny shows the timeline of a degree. Credits, modules and grades stay in the university's systems.

### Can the example be used as a semester planner template?

Yes. The example can be edited in Timeliny: the semesters and deadlines are replaced with the dates of the student's programme.
