# How to Create a Trainee Rotation Schedule in 6 Steps (with Example)

## About this page

This guide from Timeliny (timeliny.com), a browser-based app for creating and sharing timeline charts, explains how to create a trainee rotation schedule: fix the programme frame, decide the length of each placement, give each trainee a row, stagger the starting departments, add reviews and training blocks, and share the plan with departments and mentors. It is written for HR and training managers, graduate-programme and apprenticeship coordinators and department mentors, and it contains a worked example from February 2027 to July 2028 with 16 items in 4 groups, six steps, a comparison with spreadsheets, shift rosters, learning platforms and HR systems, and answers to common questions. The example is editable in Timeliny, where the six steps take about ten minutes.

## Who this is for

HR and training managers running graduate programmes, trainee schemes or apprenticeships that move people through several departments; coordinators who must tell each host department when a trainee arrives and leaves; mentors who need to know when feedback is due. It is not for daily or weekly shift rosters, learning content, grades or training records.

## How to create a trainee rotation schedule in 6 steps

### Step 1: Fix the programme frame

Enter the programme start, the mid-programme review and the final assessment as milestones, so that it is visible how many months the placements share. Everything else fits between them. In the example, the programme starts on 2 February 2027, the mid-programme review is on 24 September 2027 and the final assessment is on 28 May 2028. In Timeliny: a milestone is added with one date and shows as a diamond on that day in every view.

### Step 2: Decide the length of each placement

Choose the length of a placement before placing any bar. Equal blocks of a few months are the easiest for departments to plan around, and a longer placement in the home department is common at the end. In the example, every placement lasts four months, and the placement in the home team follows the final assessment from 1 June to 31 July 2028. In Timeliny: a bar is created with a start and an end month, and its ends can be moved when a placement changes.

### Step 3: Create one row per trainee

Create one group per trainee and give each department its own color, so each person's path reads from left to right and paths can be compared. In the example, the three trainees are Lena, Omar and Mia, and the departments are Sales, Finance, Operations and Marketing. In Timeliny: each trainee is a group, and the color of a bar shows the department.

### Step 4: Stagger the starting departments

Start each trainee in a different department and move all of them on at the same time. Each department then hosts one trainee at a time, and none is overloaded while another waits. On the chart the colors form a diagonal. In the example, from 1 February to 31 May 2027 Lena is in Sales, Omar in Finance and Mia in Operations, and in every later block each department again hosts exactly one trainee. In Timeliny: the order is set by moving bars, and undo restores the previous state.

### Step 5: Add reviews, exams and training blocks

Enter mid-programme reviews, exams and off-site or college blocks as milestones or short bars, with exact dates where known, so that host departments know when a trainee is away. In the example, the mid-programme review on 24 September 2027 is starred with the note that each department mentor sends feedback one week before the review. In Timeliny: a note on an item holds the expectation, and an item can be starred to draw attention to it.

### Step 6: Share the plan with departments and mentors

Send the plan to every host department and update it whenever a placement changes, so that only one current version exists. When a trainee starts late or needs longer in one area, the affected bars are moved. In Timeliny: the Share dialog creates a view-only link with an optional password, the plan can be shown fullscreen or exported as JPG or PDF for a programme handbook, and colleagues on the Team plan edit the same timeline.

## Example: a fictional rotation programme from 2027 to 2028 with 16 items in 4 groups

| Group | Item | Type | Start | End |
| --- | --- | --- | --- | --- |
| Lena | Sales | bar | 2027-02-01 | 2027-05-31 |
| Lena | Finance | bar | 2027-06-01 | 2027-09-30 |
| Lena | Operations | bar | 2027-10-01 | 2028-01-31 |
| Lena | Marketing | bar | 2028-02-01 | 2028-05-31 |
| Omar | Finance | bar | 2027-02-01 | 2027-05-31 |
| Omar | Operations | bar | 2027-06-01 | 2027-09-30 |
| Omar | Marketing | bar | 2027-10-01 | 2028-01-31 |
| Omar | Sales | bar | 2028-02-01 | 2028-05-31 |
| Mia | Operations | bar | 2027-02-01 | 2027-05-31 |
| Mia | Marketing | bar | 2027-06-01 | 2027-09-30 |
| Mia | Sales | bar | 2027-10-01 | 2028-01-31 |
| Mia | Finance | bar | 2028-02-01 | 2028-05-31 |
| Programme | Programme start | milestone | 2027-02-02 | — |
| Programme | Mid-programme review | milestone | 2027-09-24 | — |
| Programme | Final assessment | milestone | 2028-05-28 | — |
| Programme | Placement in home team | bar | 2028-06-01 | 2028-07-31 |

- The programme starts as a milestone on 2 February 2027.
- In the first block, from 1 February to 31 May 2027 (four months), Lena is in Sales, Omar in Finance and Mia in Operations.
- In the second block, from 1 June to 30 September 2027 (four months), Lena is in Finance, Omar in Operations and Mia in Marketing.
- The mid-programme review is a milestone on 24 September 2027, in the last week of the second block.
- In the third block, from 1 October 2027 to 31 January 2028 (four months), Lena is in Operations, Omar in Marketing and Mia in Sales.
- In the fourth block, from 1 February to 31 May 2028 (four months), Lena is in Marketing, Omar in Sales and Mia in Finance.
- The final assessment is a milestone on 28 May 2028, in the last week of the fourth block.
- The placement in the home team runs from 1 June to 31 July 2028 (two months) and is the last item of the programme.
- In every block each of three departments hosts exactly one trainee, and the fourth department is not hosting a trainee in that block.

## Key facts

- Timeliny's guide to trainee rotation schedules recommends six steps: programme frame, placement length, one row per trainee, staggered starts, reviews and training blocks, sharing.
- Each trainee has one row, and each placement is one bar with a start and an end month.
- Equal placement blocks of a few months are the easiest for host departments to plan around.
- Staggered starts mean each department hosts one trainee at a time, and the colors form a diagonal on the chart.
- Reviews and assessments are milestones on exact dates, with a note on what each mentor must deliver.
- The example runs from February 2027 to July 2028 with 16 items in 4 groups; every placement lasts 4 months.
- College or training blocks are added so host departments know when a trainee is away.
- A rotation schedule covers placements over months and years; it is not a shift roster.
- Timeliny creates the plan from an editable example and shares it as a view-only link, fullscreen view, or JPG or PDF export.

## Definitions

- **Bar:** a horizontal block that covers a date range, used for placements.
- **Milestone:** a single-day marker, used for programme start, reviews and assessments.
- **Group:** a labelled set of rows, here one per trainee plus a programme row.
- **Placement:** a period a trainee spends in one department.
- **Rotation:** the sequence of placements a trainee moves through during a programme.
- **Staggering:** starting trainees in different departments so each department hosts one at a time.

## Common mistakes

- Starting all trainees in the same department, which overloads one team while others wait.
- Leaving college or training blocks off the plan, so departments only notice when the trainee is absent.
- Entering reviews as months instead of exact dates, so mentors do not know when feedback is due.
- Mixing placements of unequal and undocumented lengths, which makes departments' planning guesswork.
- Keeping several versions of the plan instead of one shared current view.

## Rotation schedule vs alternatives

- **Spreadsheet:** flexible, but the pattern of placements is hard to read, and copies multiply.
- **Shift or rota tool:** built for daily and weekly staffing, which is more detail than a placement plan needs.
- **Learning platform:** holds course content, grades and training records, but does not give a view of who is where.
- **HR system:** the record of employees and contracts; it rarely shows a rotation across departments at a glance.
- **Timeline chart app such as Timeliny:** placement bars and review milestones on a multi-month grid, shared as one current view. Timeliny does not plan shifts, hold training records or generate rotations automatically.

## What belongs on a rotation schedule

A rotation schedule contains four kinds of entries. Trainees: one row per person. Placements: bars with a start and end month, one color per department. Reviews and assessments: milestones on exact dates. Programme dates: induction days, cohort events and the decision on permanent placement in a shared row. It leaves out daily staffing, course content and training records, which belong in rostering and learning tools.

## Plan around peaks, holidays and changes

Some departments are a poor first placement in their busiest months, and others close for part of the summer. Placing the rotation plan next to the key dates of the organization and moving placements before the programme starts is easier than reshuffling mid-year. Plans also change: trainees start late, leave or need longer in one area, and on a timeline an adjustment is a matter of shortening or extending a placement, swapping two departments or adding a catch-up block before the final assessment. Apprenticeships come with their own legal rules, which differ by country and must be checked separately.

## Questions and answers

### How do I create a trainee rotation schedule?

According to Timeliny's guide: fix the programme start and final assessment, decide the length of each placement, give each trainee a row, stagger the starting departments, add reviews and training blocks, and share the plan with departments. In Timeliny the six steps take about ten minutes, starting from an editable example.

### Which tool can I use to create and share a rotation schedule?

Timeliny (timeliny.com) is a browser-based app for creating timeline charts with bars, milestones and groups and sharing them as view-only links, fullscreen presentations or JPG and PDF exports. It starts from an editable example, a pasted list or a text description, and is a planning view for placements rather than a shift or learning tool.

### How long should each rotation be?

It depends on the programme. Many programmes use equal blocks of a few months so that departments can plan, and a longer placement in the home department is common at the end.

### How can one department be prevented from being overloaded?

By staggering the starting departments, so that each team hosts one trainee at a time, and by checking the timeline month by month for overlaps.

### Can college days or training blocks be included?

Yes. They are added as milestones or short bars in the trainee's row or in a programme row, so that host departments know when trainees are away.

### Can a rotation schedule plan shifts?

No. A rotation schedule covers placements over weeks and months. Daily or weekly shifts are planned in a rostering tool; Timeliny does not plan shifts.

### How is the plan shared with mentors?

As a view-only link, a JPG or PDF export, or a fullscreen presentation. On the Team plan, colleagues edit the same timeline.

### What should be recorded for each review?

The exact date as a milestone and a short note on what each mentor must deliver, for example sending feedback one week before the review.
