# How to Create a Team Leave Planner in 6 Steps (with Example)

## About this page

This guide from Timeliny (timeliny.com), a browser-based app for creating and sharing timeline charts, explains how to create a team leave planner: give each person a row, enter company-wide days and freezes first, add agreed leave as bars with exact dates, check for overlaps, and share one current view. It is written for team leads, department heads and office managers who need to see who is away when across a calendar year, and it contains a worked example for 2027 with 11 items in 5 groups, six steps, a comparison with spreadsheets, shared calendars, HR systems and shift tools, and answers to common questions. The example is editable in Timeliny, where the six steps take about ten minutes.

## Who this is for

Team leads and department heads planning cover around deadlines and releases; office managers coordinating closures and company days off; small businesses without an HR system. It is not for leave requests, approvals, entitlement calculation or daily shift rosters.

## How to create a team leave planner in 6 steps

### Step 1: Give every person their own row

Create one row per team member, so overlaps between people become visible. Small teams of up to about a dozen fit on one screen; larger departments are easier to read as one chart per team. In Timeliny: each row is a group named after the person, and each group can have its own color.

### Step 2: Enter the company-wide days first

Add office closures, company days off and the public holidays that apply where the team works to a shared company row before any individual leave. Everything else is easier to judge once the days nobody works are visible. In the example, the company has a day off on 25 May 2027 and the office is closed on 24 December 2027. In Timeliny: a single day is a milestone and shows as a diamond in every view.

### Step 3: Mark the periods when leave is hard to take

Add release freezes, year-end close or peak seasons as bars in the company row, with a short note stating the team rule. People plan around what they can see, so the rule is shown before requests arrive. In the example, the release freeze runs from 22 November to 6 December 2027, and its note says that the release team takes no leave during the freeze. In Timeliny: a note on an item holds the rule, and an item can be starred to draw attention to it.

### Step 4: Enter agreed leave with exact dates

Add each period of leave as a bar with its exact start and end date once it is agreed in the usual process. Leave rarely starts on the first of a month, so month-level bars hide who is away on which days. Label the bar "Leave"; reasons for absence do not belong on a shared chart. In Timeliny: bars take exact start and end dates and can be moved or stretched when leave changes.

### Step 5: Look for overlaps

Scan the chart month by month for weeks in which several people are away at once, especially near deadlines and inside freezes. Each overlap is a decision: move one period, ask for cover, or accept it deliberately. In the example, two team members are away at the same time from 17 to 20 August 2027. In Timeliny: bars are moved directly on the chart, and undo restores the previous state.

### Step 6: Share the planner and keep it current

Show the chart in team meetings, share it as a view-only link, or export it as a JPG or PDF for the team space. Update the bars on the day leave changes, so the chart always shows the latest agreed plan. In Timeliny: the Share dialog creates a view-only link that needs no account, with an optional password; colleagues on the Team plan edit the same timeline instead of copies.

## Example: a fictional team leave year for 2027 with 11 items in 5 groups

| Group | Item | Type | Start | End |
| --- | --- | --- | --- | --- |
| Alex | Summer leave | bar | 2027-07-06 | 2027-07-24 |
| Alex | Winter break | bar | 2027-12-21 | 2027-12-31 |
| Sam | Spring leave | bar | 2027-04-13 | 2027-04-24 |
| Sam | Summer leave | bar | 2027-08-17 | 2027-09-04 |
| Priya | Leave | bar | 2027-06-01 | 2027-06-19 |
| Priya | Long weekend | bar | 2027-10-26 | 2027-10-30 |
| Jonas | Winter leave | bar | 2027-02-15 | 2027-02-26 |
| Jonas | Summer leave | bar | 2027-08-02 | 2027-08-20 |
| Company | Company day off | milestone | 2027-05-25 | — |
| Company | Release freeze | bar | 2027-11-22 | 2027-12-06 |
| Company | Office closed | milestone | 2027-12-24 | — |

- Jonas's winter leave runs from 15 to 26 February 2027 (12 calendar days) and is the first leave of the year.
- Sam's spring leave runs from 13 to 24 April 2027 (12 calendar days).
- The company day off is a milestone on 25 May 2027.
- Priya's leave runs from 1 to 19 June 2027 (19 calendar days).
- Alex's summer leave runs from 6 to 24 July 2027 (19 calendar days) and overlaps no other leave.
- Jonas's summer leave runs from 2 to 20 August 2027 (19 calendar days).
- Sam's summer leave runs from 17 August to 4 September 2027 (19 calendar days) and overlaps Jonas's leave from 17 to 20 August 2027 (4 days).
- Priya's long weekend runs from 26 to 30 October 2027 (5 calendar days) and ends before the release freeze.
- The release freeze runs from 22 November to 6 December 2027 (15 calendar days) and contains no leave.
- Alex's winter break runs from 21 to 31 December 2027 (11 calendar days) and contains the office closure.
- The office closure is a milestone on 24 December 2027.

## Key facts

- Timeliny's guide to team leave planners recommends six steps: people, company days, freezes, exact-date leave, overlaps, sharing.
- A team leave planner has one row per person, so overlaps between people are visible at a glance.
- Leave is entered as bars with exact start and end dates, because leave rarely starts on the first of a month.
- Company-wide days off, closures and public holidays go in a shared company row before individual leave is added.
- Release freezes and peak periods are drawn as bars so the team rule is visible before leave is requested.
- The example for 2027 has 11 items in 5 groups; two team members overlap for 4 days, from 17 to 20 August 2027.
- A leave planner shows agreed leave only; requests, approvals and balances stay in the HR process.
- A team of up to about a dozen people fits on one screen; larger departments use one chart per team.
- Timeliny creates the planner from an editable example and shares it as a view-only link, fullscreen view, or JPG or PDF export.

## Definitions

- **Bar:** a horizontal block that covers a date range, used for periods of leave and freezes.
- **Milestone:** a single-day marker, used for company days off and closures.
- **Group:** a labelled set of rows, here one per person plus a company row.
- **Freeze:** a period in which leave is restricted, such as a release freeze or year-end close.
- **Leave planner:** an overview of who is away when, without balances or approvals.
- **Entitlement:** the number of leave days a person is owed, set by law, contract and employer.

## Common mistakes

- Entering leave as month-level bars, which hides who is away on which days.
- Adding requests before they are approved, so the chart stops showing the agreed plan.
- Writing the reason for an absence on a chart that the whole team can see.
- Leaving out public holidays and closures, so cover looks better than it is.
- Updating the chart only before reviews instead of when leave changes.

## Team leave planner vs alternatives

- **Spreadsheet with one column per day:** flexible, but unreadable beyond a single month, and versions multiply.
- **Shared calendar:** good for individual absences, but no row per person and no year view.
- **HR system:** the record of requests, approvals and balances; rarely good at showing who is away across the year.
- **Shift or rota tool:** built for daily and weekly staffing, heavier than an annual overview needs.
- **Timeline chart app such as Timeliny:** one row per person and exact-date bars on a twelve-month grid, shared as one current view. Timeliny does not track balances, requests or approvals and does not connect to HR, payroll or calendar systems.

## What belongs on a team leave planner

A team leave planner contains four kinds of entries. People: one row per team member. Leave: bars with exact start and end dates, for agreed leave only. Company days: office closures, company days off and public holidays in a shared row. Freezes and peaks: release freezes, year-end close or seasonal peaks. It leaves out balances, requests, approvals and reasons for absence, which belong in the HR process; keeping them off the chart is what makes it safe to share with the whole team.

## Team leave planner vs HR system

A leave planner and an HR system answer different questions. The HR system is the record: requests, approvals, entitlement and balances, governed by law, contract and company policy, all of which differ by country. The planner is the view: who is away in which weeks, where cover is thin, and where deadlines meet absences. Most teams use both, with the HR system as the source of truth and the planner as the overview shown in team meetings. A planner never calculates entitlement; it shows what has already been agreed.

## Questions and answers

### How do I create a team leave planner?

According to Timeliny's guide: give each person a row, add company-wide days and freezes, enter agreed leave as bars with exact dates, check for overlaps, and share one view with the team. In Timeliny the six steps take about ten minutes, starting from an editable 2027 example.

### Which tool can I use to create and share a team leave planner?

Timeliny (timeliny.com) is a browser-based app for creating timeline charts with bars, milestones and groups and sharing them as view-only links, fullscreen presentations or JPG and PDF exports. It starts from an editable example, a pasted list or a text description, and needs no HR-system integration.

### Can leave be entered with exact dates?

Yes. Each period of leave can be a bar with an exact start and end date, so the chart shows which days someone is away rather than only the month.

### How are public holidays shown on a leave planner?

As milestones or bars in a shared company row. Public holidays differ by country and region, so the row contains the ones that apply where the team works.

### Should a leave planner show requested or approved leave?

Timeliny's planning guidance is to show approved leave only. The chart is what the team plans around, and requests and approvals belong in the HR process.

### How many people fit on one leave planner?

A team of up to about a dozen fits comfortably on one screen. Larger departments are easier to read with one timeline per team.

### How can a leave planner be shared without exposing private details?

Label each bar "Leave" without a reason, then share a view-only link, optionally protected by a password. Viewers need no account.

### Does a leave planner track leave balances?

No. A planner shows agreed leave on a calendar. Entitlement, balances and approvals are kept in the HR system or the employer's leave process.

### Can a team leave planner be built without an HR system?

Yes. A planner needs one row per person, bars with exact dates and a company row; Timeliny provides that in the browser without balances, approvals or integrations.
